Job Title: Audit Administrator: CBE (Woodmead) 1. MAIN PURPOSE OF THE JOB In conjunction with the business strategy set by the CBE Business Manager and Operations Manager: Performance Assessments, Plan and schedule audits for customers in accordance with the program or clients’ SOP and business procedures. 2. RESPONSIBILITIES • Perform all duties in accordance with the SGS Statement of Integrity. • Plan all assessments, renewals and surveillance audits for all new and existing customers as per customer and program requirements. • Compliance to all relevant CBE, SGS South Africa operational quality policies and procedures. • Administer new clients in accordance with relevant CBE procedures or customer requirements.. • Plan audits to ensure that monthly budgets are met. • Maintenance and monitoring of assessment dates in the diary. This includes the management and control of diary changes and the version control number used to identify the latest version of the diary (all changes to affect the version number). • Preparing the diary to be ready by the 20th day of each month for used by the Administrator: Finance to prepare forecasting, invoicing and provisions. • Informing the Administrator: Finance of any changes to the diary immediately. • Copy the Administrator: Finance in on all requests and approvals of amendments to the diary. • Send out Audit Notification Records to clients timeously, on a regular basis. Follow up and make sure that the clients have signed the ANR and return it within 5 working days. • Compile the Client Contract Data Sheet for every client and send it with the additional needed information to the auditor. • Open a New Client File and file all relevant documentation in the file. • Update and maintain the company register and proposal database. • Maintain complaints register and react to client queries and complaints relating to PA auditing services. • Liaise with overseas affiliates regarding scheduling of foreign audits. • Track reports from auditors and submit for technical review • Ensure timely delivery of reports to the client. • Monthly report to the Operations Manager • Provide assistance to Operations Manager when required. • Any additional work/instructions from the Operational Manager and or the Supervisor must be followed and executed • Ensure the best quality of execution of all outputs delivered. • Adhere to all quality and safety requirements of the SGS management system. • Perform any other reasonable tasks as assigned by direct line manager.3. SPECIFIC AUTHORITIES Cease the use of any equipment that may be deemed to constitute a safety hazard or enter hazardous environments without the necessary knowledge and protection and report the situation to higher authority to take action. Cease to carry on with work that may affect the quality (integrity) of services and report the situation to higher authority to take action. Initiate a formal improvement request when a deviation of the system occurs, possible improvements are identified or when nonconformity is identified. 4. QUALIFICATIONS 4.1 Education Matric or equivalent NQF level qualification. 4.2 Experience 1 years administrative experience. Experience of working in a small team environment. Client and supplier liaison experience. 4.3 Competencies Attention to detail Organizational and record-keeping skills Customer focus and service orientation Basic budget comprehension Administrative skills Inter personal skills Basic administrative and communicative PC skills.
